Office Services Coordinator (Part-Time)

Title: Office Services Coordinator – St. Louis
Position Reports To: Office Manager
 
This entry-level position provides customer service to all office associates through timely delivery of incoming mail/packages, and maintaining inventory of paper for copiers, printers, and fax machines and all kitchen supplies. The Office Services Coordinator touches the work lives of all associates in the office. The customer service that this person provides is aimed at helping other associates achieve their goals more easily. Momentum’s workflow is likely to operate with fewer delays and disruptions when all behind the scene operations are handled in a timely manner. This is a part-time position, and is only 2 days a week (Tuesdays and Thursdays)
 
General Responsibilities
  • Sort/Maintain/Deliver/Log all mailroom packages and route packages.
  • Stock kitchens/mothers room and filtered water areas with necessary supplies. 
  • Support management of front desk daily as necessary. (breaks/lunches, etc)
  • Enthusiastically greet employees, clients and vendors.
  • Answer multi-line switchboard.
  • Announce all incoming packages to employees and or teams, when at front desk.
  • When necessary, call Access Courier for outbound packages. Log them into the book at the front desk.
  • Fill copy machines (color and black & white) with paper and stock paper supply areas. (Maximum paper weight is 60 pounds).
  • Meter all outgoing mail, personal and business, for pick-up.
  • Maintain postage meter & download funds as necessary once it drops below $100.
  • Collect monies for personal postage as needed daily.
  • Update forms that pertain to your daily routine as necessary.
  • Prepare nightly UPS packages for our satellite offices and take to drop off area as required.
  • Run UPS end of day reports as needed.
 
Miscellaneous Responsibilities
  • Maintain the cleanliness and organization of copier areas, kitchens and conference areas.
  • Maintain an inventory of all office/kitchen/postage and shipping supplies, and report needs to manager.
  • Distribute monthly extension list.
  • Assist with miscellaneous requests that may come up during the day. Includes heavy lifting from time to time.
  • Sanitize all coffee pots weekly; and run dishwasher as needed.
  • Report office requests, such as lights out to Office Manager as needed.
  • Cover for Manager when she has meetings/classes, etc.
  • Cover for Manager’s vacation time, etc., during the year.
 
Working Relationships:
This position will interact with every associate, at every level and must maintain a professional work relationship with all. He/She must work smoothly with all Office Services teammates.
 
Qualifications Required:
Education: High School or GED. Previous Experience: None. Other: Ability to lift heavy packages is recommended. A good, positive attitude and the ability to work with a variety of personalities is a must. MS Office, Excel and MS Publisher experience helpful.
